Introduction
Plotlogic want to be proud of all behaviour at and connected to work, and don’t want any Team Member to behave in a way that hurts another Team Member or business (including our own).
Plotlogic therefore is committed to ensuring that all employees, Directors, trainees, work experience students and contractors (Team Members) behave in a respectful and professional way.
Purpose
The purpose of this Code is to set out Plotlogic’s approach to team member behaviour.
Scope
This Code applies to all Team Members.
Plotlogic refers to Plotlogic Pty Limited (ACN 115 988 308) trading as Plotlogic and the related bodies corporate of those entities.
Core Principles
This Code has been designed to deter wrongdoing and to promote:
- Honest and ethical conduct, including the ethical handling of conflicts of interest;
- The professional and respectful treatment of other individuals (including team members, and potential and existing partners, clients, customers, sponsors and stakeholders);
- Compliance with applicable legislation and Plotlogic’s policies;
- The prompt internal reporting of suspected violations of this Code; and
- Accountability.
More information on each requirement is set out below.
Honest and Ethical Conduct
Team members are expected to act and perform their duties ethically and honestly, and with the utmost integrity.
Honest conduct is considered to be conduct that is free from fraud or deception, while ethical conduct is considered to be conduct confirming to accepted professional standards of conduct.
Ethical conduct also includes the ethical handling of actual or apparent conflicts of interest between personal and professional relationships as discussed below.
Professional Behaviour
It is vital that all team members behave in a manner in which they would like to be treated. In other words, all team members must:
- Act with courtesy by listening to differences of opinion;
- Show respect for the differences of race, culture, religion, language, gender and abilities of others;
- Be punctual and prepared for appointments;
- Consider and understand the perspective and circumstances of others;
- Respect the privacy of others;
- Treat Plotlogic’s confidential information as confidential, and not:
- Disclose this information to others;
- Allow others to access this information;
- Use this information for a purpose other than which they have been permitted;
- Not use any unethical, unlawful or improper means to obtain confidential information belonging to a competitor, supplier or other third party;
- Not engage in misleading and deceptive conduct in selling or marketing Plotlogic’s products or services;
- Not make a public comment as a representative of Plotlogic unless authorised to do so;
- Not make a public comment which disparages Plotlogic;
- Not use Plotlogic’s assets and resources for illegal, unlawful or improper purposes, such as accessing illegal websites or downloading inappropriate content;
- Not misuse company equipment or use it frivolously and respect all kinds of incorporeal property;
- Be honest about their time and use of Plotlogic’s assets and resources;
- Work to the best of their ability to maintain Plotlogic’s reputation and goodwill;
- If they have a supervisory role, not abuse their position by employing improper methods of management or favouritism;
- Provide and accept feedback;
- Recognise and respond to the contribution and needs of others; and
- Not record audio or video of conversations they are involved in (either over the phone, video or face-to-face, and related to their engagement with Plotlogic) without the consent of all the other parties involved in the conversation. For the sake of clarity, we note that:
- All secret recordings by team members are prohibited; and
- Plotlogic may decide, at its absolute discretion, that it is necessary to record the audio and/or video of a conversation or meeting, if it first notifies all parties involved. In this situation consent is not required to be obtained by all parties and a copy of the recording is not required to be provided to all parties, however as stated all parties will be notified before the recording commences.
Conflicts of Interest
A conflict of interest exists where the interests or benefits of one person or entity conflict or appear to conflict with the interests or benefits of Plotlogic. While it is not possible to describe every situation in which a conflict of interest may arise, team members must never use or attempt to use their position with Plotlogic to obtain improper personal benefits.
Any team member who is aware of a conflict of interest, or is concerned that a conflict might develop, is required to discuss the matter with their manager, the Vice President – People and Culture or the Chief Executive Officer (CEO) of Plotlogic.
Any employee who wants to engage or be involved in any employment, business or occupation (including as an employee, contractor, director, officer or agent) in addition to their work with Plotlogic, is required to discuss the matter with their manager, the Vice President – People and Culture or the CEO of Plotlogic, and obtain their express written approval prior to engaging in that work. For the sake of clarity, this captures engagements anywhere in the world (and not just Australia), and includes (but is not limited to) paid and unpaid Board roles, informal arrangements and engagements not similar to their role with Plotlogic.
Compliance
It is Plotlogic’s policy to comply with all applicable legislation.
It is therefore the personal responsibility of each team member to adhere to the standards and restrictions imposed by those laws.
Any team member who is unsure whether a situation violates any applicable legislation or this Code and all other Plotlogic policies should discuss the situation with their manager, the Vice President – People and Culture or the CEO of Plotlogic.
Internal Reporting
Team members shall take all appropriate action to stop any known misconduct by fellow team members that violate this Code. To this end, team members shall report any known or suspected misconduct to their manager, the Vice President – People and Culture or the CEO of Plotlogic.
Plotlogic will not retaliate or tolerate retaliation or victimisation for reports of this nature made in good faith.
Breach of this Policy
Any breach of this Policy by a team member may result in counselling and/or disciplinary action, including up to termination of employment or cessation of engagement.
Review
This document will be reviewed every two years or more frequently, if required, by the CEO and the Vice President – People and Culture to ensure continued compliance.
